Operational Policies for Bike Box Rentals

These operational policies govern the safe, secure, and responsible rental of bike boxes from Safe Bike. They are designed to protect both the renter and Safe Bike and to ensure smooth operations.

1. Rental & Returns Policy

  • Rental Period: The rental period begins at the agreed collection time and ends when the bike box is returned to Safe Bike in the same condition.

  • Booking: Rentals must be booked in advance via our website, phone, or in-person.

  • Return Procedure:

    • Bike boxes must be returned to the designated location at Safe Bike.

    • A member of staff will inspect the bike box for damage, missing parts, or excessive wear.

    • Any discrepancies will be documented and communicated to the renter.

  • Condition Requirements:

    • Boxes must be returned clean and free from significant damage.

    • Any repairs required due to improper use may be billed to the renter.

  • Inspection Time: Inspections may take up to 24 hours after return for certain damage assessments.

2. Late Fees / Extended Rental Policy

  • Late Returns: Bike boxes must be returned by the agreed date and time. Late returns will incur a fee of £15 per day.

  • Grace Period: A 4-hour grace period may apply for same-day rentals at Safe Bike’s discretion.

  • Non-Return: If a bike box is not returned within 7 days of the agreed return date, the renter will be charged the full replacement cost of the bike box.

  • Extended Rentals: If you wish to extend your rental, you must contact Safe Bike before the original return time. Extended rentals are subject to availability and additional fees.

3. Damage, Loss, and Theft Policy

  • Renter Responsibility: Renters are fully responsible for any damage, loss, or theft of the bike box during the rental period.

  • Damage Charges:

    • Minor damage (e.g., scratches) may incur repair fees up to [Insert Amount].

    • Major damage or structural failure will incur repair or replacement charges based on retail value plus administrative fees.

  • Loss or Theft:

    • If the bike box is lost or stolen while in the renter’s possession, the renter is responsible for full replacement cost.

    • Renters must notify Safe Bike immediately if a box is lost, stolen, or damaged.

  • Insurance: Safe Bike maintains insurance coverage for our property. However, this does not cover renter negligence. Renters are liable for all damage caused by misuse or theft under their control.

4. Payment & Refund Policy

  • Payment: Rental fees must be paid in full at the time of booking or collection.

  • Security Deposit: Safe Bike may require a deposit to cover potential damage or loss, refunded upon safe return of the bike box.

  • Refunds:

    • Refunds are not provided for late collection, missed rentals, or improper use of boxes.

5. Safety Guidelines

  • Handling: Renters must handle bike boxes safely to prevent injury or damage.

  • Transport:

    • Secure the box properly in vehicles to avoid movement or tipping.

    • Do not overload beyond the manufacturer’s weight limit.

  • Usage Restrictions: Bike boxes must only be used for transporting bicycles.

  • Storage: Keep boxes in a safe, dry location while in your possession.

  • Responsibility: Renters assume all risk for injury or damage arising from handling or transporting the box.

6. Maintenance Policy

  • Safe Bike inspects all bike boxes before each rental to ensure they are safe and functional.

  • Any boxes found damaged or unsafe will be repaired or replaced prior to rental.

  • Renters must notify Safe Bike immediately if any defects or safety issues are identified during the rental.

  • Safe Bike reserves the right to refuse rental if the box is not returned in a safe or usable condition.

7. Acceptance of Policies

By renting a bike box from Safe Bike, you acknowledge that you have read, understood, and agreed to all operational policies outlined above. Non-compliance may result in fees, liability for damages, or refusal of future rentals.
